Khronus AI Policy

Last updated: October 2025

1. Purpose & Scope

This AI Policy explains how Khronus (“we”, “us”, “our”) uses, governs, and oversees artificial intelligence (AI) technologies in connection with the services offered via our website [khronus.ai] and related platforms (the “Services”). It applies to users, clients, collaborators, and any party interacting with our AI-powered offerings.

By using our Services, you agree to this AI Policy in addition to our Terms of Service and Privacy Policy.

2. Definitions

  • AI / Artificial Intelligence: Systems, models, or algorithms that perform tasks that normally require human intelligence (e.g., natural language processing, prediction, classification, automation).

  • Prompt: A user’s input, query, or command given to an AI system.

  • Output / Response: The content or action generated by the AI system in response to a prompt.

  • Training Data: The data used to train or fine-tune AI models.

  • User Data: Any data, content, inputs, documents, or materials you provide to Khronus or via the Services.

3. Use of AI in Our Services

  • We employ AI to automate workflows, generate insights, assist decision-making, and integrate with existing tools and systems (e.g. CRMs, spreadsheets, communication platforms).

  • AI is used as a support and augmentation to human work, not a replacement in all contexts.

  • We design AI systems so humans remain “in the loop” — i.e., final review or control by human agents is preserved where errors or harm may occur.

4. Data Handling, Privacy & Security

  • No Training on Your Data: We do not use your prompts, user inputs, or outputs to train or fine-tune our AI models without your explicit consent.

  • Zero Retention (where applicable): Unless otherwise agreed, we do not persistently store your prompts or outputs beyond the duration required to provide the service.

  • Encryption & Secure Infrastructure: All communications use strong encryption (e.g. TLS). Data storage and processing are conducted on secure, audited infrastructure (e.g. Microsoft Azure) with industry best practices (access controls, role separation, logging, etc.).

  • Geographic Data Residency: Where required, we offer data residency options (e.g. EU-only storage) to comply with applicable laws.

  • Access Controls & Minimization: Access to user data (raw or processed) is limited to authorized personnel on a need-to-know basis.

  • Anonymization / Aggregation: If using aggregated or anonymized data insights (e.g. for analytics, improving system performance), we ensure it cannot be traced back to identifiable users.

5. Transparency & Explainability

  • We will make clear which features are driven by AI.

  • When you interact with or receive output from an AI component, we will provide, to the extent feasible, meaningful explanations or interpretations of how the result was derived (e.g. key contributing factors, confidence levels).

  • We strive to avoid “black-box” AI; we prefer models and architectures with greater interpretability where feasible.

6. Accuracy, Limitations & Liability

  • AI outputs may be imperfect or erroneous. You acknowledge that reliance on AI outputs is at your own risk.

  • We do not guarantee the accuracy, completeness, or fitness for a particular purpose of AI-generated content.

  • You are responsible for verifying and validating any results before acting on them, especially in high-stakes domains (e.g. finance, health, legal).

  • We disclaim liability to the maximum extent allowed by law for losses arising from AI outputs, except in case of gross negligence or willful misconduct.

7. Content & Ethical Use

  • You must not use our AI systems for illegal, harmful, or unethical purposes (e.g. hate speech, defamation, fraud, disinformation, harassment).

  • We will not knowingly support use of our AI for infringing intellectual property, violating privacy, or unlawful surveillance.

  • If we become aware of misuse, we reserve the right to suspend or terminate access to the offending user.

8. Intellectual Property & Ownership

  • Except as otherwise agreed in writing, the user retains ownership over content they supply (prompts, documents, data).

  • Output generated by our AI systems (in response to your prompts) is typically licensed to you under the terms set out in our Terms of Service — unless otherwise agreed.

  • We retain any rights to the underlying AI models, architectures, improvements, derivative works, or aggregated, anonymized analytics.

9. Consent & User Controls

  • You consent to the collection, processing, and use of your data as described here (in conjunction with our Privacy Policy).

  • Where required by law, we will request explicit consent before processing.

  • You may request deletion or anonymization of your data, or withdraw consent, subject to legal or contractual retention obligations.

  • We will offer controls (opt-out, pauses, data export) concerning how AI features interact with your data.

10. Auditing, Monitoring & Governance

  • We maintain logs and oversight to detect misuse, bias, errors, or anomalous behavior in AI systems.

  • We will carry out regular testing and validation of models, including fairness, robustness, and performance assessments.

  • Bias Mitigation: We strive to detect and mitigate biases in training data, model behavior, or output.

  • Change Management: Substantial modifications or upgrades to AI models will be documented and reviewed through governance frameworks.

  • Incident Response: In case of security incidents, failures, or harmful outputs, we have protocols to respond, remediate, and notify affected parties as required.

11. Compliance With Laws & Standards

  • We will comply with all applicable laws, regulations, and guidelines relevant to AI, data protection, and consumer protection (e.g. GDPR in EU, CCPA in California, etc.).

  • We aim to align with relevant industry standards and guidelines (e.g. ISO 27001, AI ethics frameworks).

  • If new AI-specific regulation emerges, we will update this policy accordingly and inform users.

12. Updates & Modifications of This Policy

  • We may revise this AI Policy from time to time.

  • When material changes are made, we will notify users (via email, website banner, or version notice) before they take effect.

  • Continued use of Services after the updated policy is posted constitutes acceptance of the changes.
